Privacy Worksheets are intelligent workflows that identify and document privacy risks, solutions, and safeguards. Traditional privacy programs run on spreadsheets, checklists, assessments, and pre-assessments. TerraTrue’s Privacy Worksheet combines all of these documents into one streamlined workflow that eliminates irrelevant and duplicative questions to ensure your privacy program can keep pace with your business. The Privacy Worksheet also learns from every launch you complete and uses intelligent recommendations to speed up future privacy reviews.

What kind of questions can I expect in the Privacy Worksheet?

The Privacy Worksheet is designed to satisfy the needs of global privacy-by-design programs, but we also provide privacy modules — including CCPA/CPRA and GDPR modules — that offer detailed recommendations and workflows for specific laws. For example, our GDPR module will help you document your bases for processing and automatically identify when part of a launch requires a data protection impact assessment. You can enable modules in your org settings and, if you have specific privacy needs we don’t cover, you can always create a custom questionnaire. Completing the Privacy Worksheet

You can start the Privacy Worksheet by clicking “Begin Privacy Worksheet” on the launch summary page.

Privacy Worksheets change based on the content of Data Specs, so the Data Spec must be complete before you can begin. If the Data Spec changes while you’re working on the Privacy Worksheet, we’ll let you know how it changed and help you update the Privacy Worksheet. You can also lock the Data Spec to prevent changes, which we’ll explain in the next section.

The first page of the Privacy Worksheet provides a quick overview of how the launch will use data. If you see anything that doesn’t seem quite right — like an overly long retention period for a sensitive piece of data — you can click the word “EDIT” and make changes inline. We’ll notify the person that completed the Data Spec they’ll need to revisit their design.

At the bottom of this page, you’ll also see a box to lock the Data Spec and toggles to change which privacy modules apply to this Privacy Worksheet. If we think you should enabled a module, we’ll let you know by posting a notification next to the module.

When you’re happy with the first page of the Privacy Worksheet, click “Looks good!” to continue.

After the first page, the Privacy Worksheet changes based on the modules enabled, contents of the Data Spec, and your answers in the Privacy Worksheet. Each page of the Privacy Worksheet has instructions on how to use it, but you can always contact us if you’re stuck. We’ve also provided some extra information about completing privacy assessments in TerraTrue.

When you reach the last page of the Privacy Worksheet, we’ll provide a set of recommendations sorted by priority. Each recommendation has a checkbox you can use to track your progress. You can save the Privacy Worksheet and revisit these recommendations any time, so don’t feel like you have to do them all at once!

If you see issues you want to discuss with your product teams after completing the Privacy Worksheet, send them a comment or Slack. The recommendations can only be viewed by users with the Privacy Worksheet viewer or editor permissions.

When you’re satisfied with your review of a launch, you can mark your review status as “Complete” on the launch summary page. When you do this, we’ll notify the launch creator, create downloadable PDFs of any privacy assessments you’ve completed, and add the launch’s information to Privacy Central.
