What’s New

  • Add taxonomy questions to third-party assessments and internal surveys. Collect structured data in your assessments and surveys by asking users to select one or more items from your org’s existing taxonomies.
  • New widgets in Privacy Central. Get smarter analytics and insights into your program’s performance with four new widgets on Privacy Central’s Overview page: Workflow Intervals; Launch Status Report; New Launch Summary; Time to Launch. These news charts are part of a larger effort to surface the right insights to improve overall program health and productivity. Each chart is interactive, offering clickable bars to unlock additional detail on the underlying data. What’s New

  • Our CPRA module is now live. In January of 2023, the California Consumer Privacy Act (CCPA) will become the California Privacy Rights Act (CPRA), and with the new name comes new rules and new complexity. We’re launching our CPRA module well in advance to give you a head start, so you’ll notice changes across TerraTrue — like new questions, CPRA-specific terminology, and an updated privacy workflow. We’ve already activated the module for your org, so for most users there’s no special action to take. Privacy managers should have a look at Privacy > Profile, where we’ve added a few new questions to help you get started. Visit our Help Center article to get started, or have a look at our blog to learn more about the CPRA module. 
  • Introducing cloud monitoring for GCP and AWS. TerraTrue can now keep an eye on  your GCP and AWS cloud infrastructure and automatically create launches when changes are detected. Admins can enable this feature by visiting the individual integrations on the Integrations page. For help getting started, have a look at our Help Center article.
  • Set reviewers for your products. For each review team, select a default reviewer for each of your products, and every new launch associated with that product will automatically be assigned to that person for review. To get started, select a team from the Review Teams page, toggle the Auto-Assignment tab, then choose Set Default Reviewer from the three-dot menu on each product.
  • New widgets in Privacy Central. What’s New

  • Questionnaires are now workflows. Questionnaires are TerraTrue’s frontline tools for gathering and documenting information about how your org uses data — and we have big plans to make them more dynamic, more customizable, and easier to use. Now, as we roll out a powerful new survey feature, we’re rebranding questionnaires as workflows to give a clearer representation of our product vision. Visit our blog to learn all about it.
  • Introducing internal surveys. Bring information into TerraTrue in a new way with customizable, invitation-only workflows. Send internal surveys to your colleagues to gather and structure information about your org’s data and privacy practices — like compiling cookie inventories across web pages, understanding the risk levels of each team’s data types, or clarifying your data-processing locations.
  • Temporarily mute notifications for everyone in your org. Administrators can turn off most outbound email notifications for TerraTrue users by visiting Org Settings > Customization > Settings. This feature is helpful when onboarding large numbers of new users to TerraTrue.
  • Set a custom timeframe for third-party access to workflows. Administrators can now choose how long external users will have access to third-party assessments. The default access period has expanded from seven to 30 calendar days, and admins can adjust that period to be as long as 90 days. Find this feature in Org Settings > Customization > Settings.
  • Automatically submit pre-populated workflows at launch creation. When you create a launch in TerraTrue or from an integration, we’ll automatically take a look at your new-launch workflows. If all questions in the workflow have been pre-populated from your integrations, custom field mappings, or Data Spec taxonomies, then we’ll automatically submit the workflow on the user’s behalf, trigger any relevant custom actions, and even mark the launch as ready for review if all new-launch workflows are complete.

Welcome to Workflows

Workflows — formerly known as questionnaires — are TerraTrue’s frontline tools for gathering and documenting information about how your org uses data. Built on a simple question-and-answer interface, workflows can be assigned to stakeholders and reviewers to give you a full view of your privacy needs at each stage of your development lifecycle. TerraTrue provides a wide range of workflows for different needs — and some of our terms have changed:

  • The Data Spec
    The heart of TerraTrue is the Data Spec — a five-minute workflow that help PMs, engineers, and development directors document how each launch collects, uses, shares, and retains data. TerraTrue learns how your org uses data and suggests answers based on prior launches, so the Data Spec gets smarter and simpler the more you use them.
  • Privacy workflows (formerly privacy worksheets)
    Privacy workflows are expanded question-and-answer interfaces designed that help privacy managers evaluate how launches use data. Each privacy workflow generates a custom list of questions for each launch based on information gathered from the Data Spec, your org settings, and your launch history. When the privacy workflow is complete, TerraTrue provides the privacy manager with a list of recommended actions.
  • Custom workflows (formerly custom questionnaires)
    TerraTrue lets you create and configure your own workflows to simplify and automate TerraTrue. Use custom workflows to gather and consolidate information, assign risk levels, or automate actions based on your users’ responses. Custom workflows support conditional logic, so you can configure them to surface when specific conditions are met — like when new launches are created, when a sensitive data type is used, or when a launch is associated with a particular product or component.
  • Privacy assessments
    Privacy assessments are supplemental workflows that appear automatically in the privacy workflow based on each launch’s data and privacy practices. Privacy managers use privacy assessments to understand the finer points of their org’s regulatory needs.
  • Launch creation workflows
    Launch creation workflows help you screen new launches and automate tasks by asking a few quick questions whenever a launch is created. These workflows can be customized with conditional logic to surface only in specific scenarios — like when a certain product is used — and can be configured to automatically assign reviewers, mark a launch as not needed, or populate fields in the Data Spec.
  • Invitation workflows
    Most workflows are accessed through individual launches, but you can also invite people to fill out a workflow when you need information that might not be directly related to a specific launch. We call these invitation workflows, and we offer two kinds:
    • Third-party assessments (formerly external questionnaires)
      Third-party assessments are designed to be shared with vendors, contractors, and other external partners to help you understand how their data and privacy practices affect your org. Third-party assessments use access-controlled invitations and are simple to customize, so you can ask the right questions to the right users in a secure environment. TerraTrue learns from each response to streamline your launches and update your recommendations.
    • Internal surveys
      Internal surveys are powerful, customizable workflows that help you gather information from people inside your org. Use them to understand your teams’ data and privacy practices — like what types of data are being used, where that data is processed, or to compile cookie inventories across web pages.

  • Assign risk levels to more taxonomy types. Get higher-resolution risk assessments by assigning risk levels to third parties, data subjects, launch goals, and regions.

Swing by the custom questionnaires org setting and click “Create New” to get started!
  • Manage your custom questionnaires faster than ever. We made a few changes to the custom questionnaires org setting to make it easier to use. We added a button that lets you quickly decide whether you want to import a questionnaire, create a questionnaire from a template, or start from scratch. We also added description fields that make it easier to understand questionnaire templates.
  • Automatically create Jira issues based on questionnaire responses. If your org has enabled the Jira integration, you can now configure custom questionnaires to automatically create Jira issues based on responses. Head on over to the custom questionnaires org settings to get started.

  • TerraTrue + Ironclad. This is a game changer. Our new Ironclad integration lets you automatically create launches based on Ironclad workflows and custom fields.   • We freshened up the look and feel of the Data Spec. The new Data Spec makes it easier to see all your selections at a glance and transfer answers between questions. Let us know what you think!

What’s New

  • Quickly find launches with unresolved comments. We added a new Launchpad filter that spotlights launches with unresolved comments. Just click the Advanced filter and pick an option under Unresolved Comments.
  • Stop worrying about accidentally deleting launches. Launch Managers will notice a new trash icon on the Launchpad that lets them review and restore any launches deleted in the last 7 days.

Improvements

  • We removed the follow-up questions from the Special Considerations section in the Privacy Worksheet when there is only one type of data use.
  • We made some UI tweaks to improve the Launch Summary Page. Labels moved to the top of the page so they’re easier to view and edit. We also made it easier to edit Data Specs, Privacy Worksheets, and Custom Questionnaires.
  • The privacy team will now be notified whenever a new Data Use, Data Type, or Third-Party has been added to the Data Spec.

What’s New

  • It’s time to invite third-parties to the party! Now you can invite vendors and other third parties to complete questionnaires. To get you going quickly and confidently, we’ve even provided you with a powerful set of turnkey vendor questionnaires based on a Google open-source project. Whether you build or import your questionnaires, click the new questionnaire tab in the sidebar to invite external responders. That’s where you can also view and manage questionnaire access.
  • Inline commenting is here. We heard you loud and clear: TerraTrue now supports threaded comments for every question inside the Data Spec, Privacy Worksheet, and custom questionnaires. So conversations around issues now take place where they belong, giving everyone perfect context. With the power to tag colleagues, receive in-app notifications for @mentions, and resolve comments, our new inline commenting feature will make TerraTrue an even more powerful collaborative hub for everyone building and reviewing features. To add a comment, just click the speech bubble icon inside a Data Spec or Privacy Worksheet and have at it.
  • Need help with the Data Spec or want to bookmark a page for later? We added a new “flag for later” icon next to each question in the Data Spec. Use it when you’re not sure about an answer or want to ensure you revisit it. We’ll let you move on to the next question and won’t mark the Data Spec as complete until you’re happy with your response.
  • We made the Launchpad smarter and more customizable. Launch reviewers will continue to see all their org’s launches by default. For everyone else, you’ll only see incomplete launches that you created or were mentioned in. We also added the ability to make any saved search your default view by clicking “…” next to the saved search and choosing “Make Default View.”
  • Filter Privacy Central widgets by date. Want to know how your org uses data over time? No problem! Just add a widget to Privacy Central, click the calendar icon, and choose the date range.
  • Slack accounts now link to TerraTrue accounts. We’ve updated our Slack integration so that it automatically links your Slack email address to your TerraTrue address. You’ll never wonder which Slack user created a launch again.

What’s New

  • Custom questionnaires now work with Google Drive. When configuring a custom questionnaire, you can tell TerraTrue to automatically store responses in a new Google Sheet. You’ll still see all the responses inside TerraTrue, but now teams that work outside of TerraTrue can stay synced in real-time.
  • The Privacy Worksheet is even smarter. TerraTrue now intuitively completes the Basis for Processing and Individual Rights workflows for you based on your past launches. We also added the ability to edit answers in bulk, so you can get more done in less time.
  • Custom questionnaires now support dynamic messages. The custom questionnaire builder now lets you add custom messages that can change based on responses. This makes it easier than ever to provide real-time feedback and counseling at scale.

Improvements

  • TerraTrue displays email addresses when you tag a user to make sure you don’t @ the wrong person.
  • The Privacy Worksheet skips the Categorizing Your Data section if you’ve already assigned CCPA/CPRA categories to all the data types in your launch.
  • You can edit the launch title, description, due date, and components for launches created in Jira.
  • Hovering over a label will now show a tooltip with the group that the label belongs to.
  • We moved pagination to the bottom of the Launchpad.

What’s New

  • Beautify your Data Specs with custom icons. Privacy Managers can now pick custom icons for regions. Head here to get started.
  • Data Specs keep getting smarter. We updated the logic behind TerraTrue Suggestions to make finding the right data types and third parties easier than ever.
  • Data Specs also keep getting faster. If you wanted to identify the same data types across multiple data uses in the same launch, you used to have to re-select the data types for each use. Not anymore! Now you can simply copy over those data types with the push of a button.
  • Understand your data transfers. We added new questions and recommendations to the Privacy Worksheet to help you document and understand data transfers. We also updated the processing records dashboard to show this new information.

Improvements

  • We improved our Slack integration so that only registered TerraTrue users can create a new launch with the /newlaunch command.
  • We added the ability to filter launches by region on the Launchpad.
  • Risk scoring in Custom Questionnaires is no longer enabled by default. If you want to enable, just toggle it on in the Custom Questionnaires Configure tab.
  • We’ve also added a description field to file uploads for Custom Questionnaire responses.
  • We’ve made some UI improvements so that it’s now easier to edit and delete Review Teams in Org Settings.

What’s New

  • You can now create launches directly from Slack or email. Creating a launch in TerraTrue has never been simpler or faster. Fire off an email or, if you’ve enabled our Slack integration, simply type /newlaunch to create one. And voila! Your launch will show up in TerraTrue.
  • Now you can reply to launch comments through email. When you get an email letting you know that someone commented on a launch, you don’t have to hop into TerraTrue to respond. Just reply to the email and your response will show up in TerraTrue. It’s delightfully simple.
  • We made it easier to address regional privacy risks. TerraTrue now recommends which privacy modules you should use based on where launches collect personal data. You can also trigger custom questionnaires based on whether you’ll collect data from users in Europe, the US, or anywhere else around the world.
  • Privacy assessments will let you add more context. We added an optional text field to privacy assessments so you can record freeform comments and thoughts.
  • Importing past privacy assessments is a snap. We overhauled our suggestion algorithm so that you can instantly find and clone existing assessments related to your current launch.
  • TerraTrue’s default taxonomy is now fully customizable. You can now rename, delete, and modify TerraTrue’s default data types, data uses, and third parties. To get started, go to your Privacy Profile in Org Settings and enable Advanced Customization.
  • Custom retention periods are even more flexible and powerful. TerraTrue now lets you create more complex retention periods — think “account duration + 7 years,” for example. We’ve also added a new org setting to help you quickly customize the default retention periods in your Data Specs.

Improvements

  • The Assessment Library now lets you sort by column. Launch ID and Last Updated are sorted numerically and all other columns are sorted alphabetically.
  • We overhauled the Org Settings overview page to make it easier to find all our new features.
  • We made URLs easier to spot on the Launch Summary page by increasing the font size and adding favicons.

What’s New

  • Suspend and reactivate user accounts. There are times when you may want to temporarily suspend a user account and reinstate it later (like if they go on vacation). TerraTrue admins now have that flexibility. The Status column under Org Settings > Users will show whether an account is active or inactive.
  • SCIM is live on Okta and OneLogin. The wait is over for our SAML customers! The TerraTrue app on Okta and OneLogin now supports SCIM. Use SCIM to centralize and automate the user lifecycle directly from these identity providers. Improvements

  • TerraTrue can now automatically post comments to Jira tickets when a launch changes. Head over to your Jira integration preferences to opt-in.
  • We added two new question types to the Custom Questionnaire. One allows responders to upload attachments and the other lets you ask simple yes/no questions.
  • We’ve added a save button to the Data Spec and Privacy Worksheet pages so you can choose when to save your work. Don’t worry, you’ll still get a heads-up for any unsaved changes to your work before leaving.

What’s New

  • Review custom questionnaires from the Privacy Worksheet. We’ve made it even easier to review responses to custom questionnaires embedded in your Data Specs. From the first page of the Privacy Worksheet, just click the name of the custom questionnaire you’d like to review and we’ll give you a quick summary of the answers.
  • Document the regions where you collect and process personal data. Now you can record the regions where you collect and process data on a launch-by-launch basis. To enable and configure this functionality, head over to your org settings and click the new Data Transfers setting.
  • Manage your users with SCIM. TerraTrue will soon supports SCIM-based user provisioning and de-provisioning to complement our existing SAML and SSO offerings. Look for our app to be updated in Okta and OneLogin in the next two weeks.

  • Build your own Privacy Central dashboard. Select from a range of widgets to customize your Privacy Central dashboard. Create charts, graphs, and tables to help understand your data like never before!
  • TerraTrue helps you decide when it’s time to do a PIA. If you’ve enabled our CCPA/CPRA-only module, we’ll identify higher risk data processing and suggest when you might want to complete an optional privacy impact assessment.
  • Choose the privacy module that’s right for your launch. We’ve added the ability to enable and disable the CCPA/CPRA and GDPR privacy modules from within the Privacy Worksheet. You can also set your default preferences in org settings.

What’s New

  • Import answers from prior assessments. Accelerate privacy reviews by importing responses from previously completed LIAs, DPIAs, and PIAs.
  • Batch export custom questionnaire responses. You can now export completed custom questionnaires to perform trend analysis and quickly search and sort through answers.
  • Add new users through CSV. Adding new users is faster and easier thanks to our new bulk import feature. Head to org settings and we’ll walk you through each step.

  • Streamline privacy reviews to fit your business: Now you can truly customize your privacy review program by enabling and disabling GDPR and CCPA/CPRA privacy workflows in TerraTrue.
  • Speed up Data Specs with components: We’ll automatically complete the first two questions of the Data Spec when you add a component to a launch. If you’d like to change your answers, you can always modify them at the end.
